If you are speaking with a Resident and notice that they do not have a Resident Portal account (or have not Migrated their VIVO Portal account), below are steps you can take to help them get their account set up very easily. You are able to send Invitations to Owners, Tenants, Misc, and Management Agents. Tenants have a limited version of the Portal (no Financials, no Non-Compliances, no Architectural, different documents, no access to Owner Names/Contact information/Account Numbers, and Work Orders – depending on the association’s preferences). Owners, Misc, and Management Agents have full access.

Account Invitation

Access the property in the Management App.

Click on the name of the Resident on the right hand side.

Make sure they have an email address (this is necessary to send them an invitation).

If they do not have an email address, there will be no Invitation button.

Click on the Send Invitation Email button.

Review the information and click Send.

The Resident will receive the below email.

Clicking on the Create Account button will bring them to this page to complete their Registration.

 

Account Migration

For migrating an account (from VIVO to the Resident Portal), the process is very similar.

Access the property in the Management App.

Click on the name of the Resident on the right hand side.

If their email address is tied to a VIVO account, you’ll see a a migrate button.

You can also click on the green button next to their information in the VIVO Accounts [Old] section to send the Migration email.

They will receive an email similar to below

Clicking on the Create Account button will bring them to this page to complete their Migration.
